Why cruise events go wrong

A boat is not a ballroom.

Everything that makes a cruise event beautiful also makes it harder to plan. These are the four things that break first.

The clock belongs to the bay

Cast-off, kayaking, cave visits and sunset all sit on fixed windows. A land run-of-show does not survive contact with the tide.

Vendors who have never loaded a boat

Decor, AV and florals have to fit through a gangway, survive humidity and be struck before the next sailing.

Guests spread across cabins

Transfers from Hanoi, boarding order, cabin assignment and who needs a room upgrade. It all lands on someone, usually you.

Weather with no plan B

Rain on a sundeck ceremony needs a second layout ready, not a group chat at 4pm on the day.

What we plan

Three kinds of event, one way of working.

Weddings

A wedding that lasts two days, not five hours

Ceremony on the sundeck, dinner in the restaurant, breakfast in the bay. Your people stay together the whole time.

  • Ceremony, banquet and after-party laid out against the sailing route
  • Styling, florals and AV sourced and loaded for you
  • Wet-weather layout agreed before you sign
  • Cabin block, transfers and guest comms handled

Corporate retreats

Bonding that is not another hotel ballroom

Sessions in the morning, kayaking in the afternoon, dinner nobody wants to leave. The bay does the work a teambuilding vendor usually charges for.

  • Meeting blocks placed around cruising and shore stops
  • Full-boat charter or cabin block, depending on headcount
  • Awards dinners, briefings and AV set up onboard
  • Invoicing and paperwork your finance team will accept

Private groups

Someone on board whose only job is your event

Birthdays, anniversaries and extended family trips. We run the day so the host gets to sit down and eat.

  • One coordinator on board from boarding to disembarkation
  • Cabin assignment by family group, not by spreadsheet order
  • Dietary needs and kids' arrangements confirmed with the galley
  • Photo and video timing planned around the light

How it works

Five steps from first message to sail away.

No mystery pricing, no vendor roulette. You see the full plan before you commit to anything.

Step 01 Tell us the event

Goals, guest count, dates, and whether this is a wedding or a company retreat.

Step 02 Match cruise and route

We recommend a vessel and a 2D1N or 3D2N itinerary that fits your group.

Step 03 Proposal and timeline

Run of show, space planning, vendor scope and transparent pricing, in writing.

Step 04 Planning and coordination

Logistics, vendors, guest flow and styling, including the cruise-specific constraints.

Step 05 We run the day

Onboard coordination from arrival to departure. You get to be a guest.

Honest fit check

Is a cruise event right for you?

We would rather tell you now than three months in. Here is who this works for, and who it does not.

A good fit

  • Couples who want an intimate, multi-day wedding
  • Teams looking for bonding beyond a hotel ballroom
  • Groups who value flow, scenery and shared time
  • Families or companies comfortable with a flexible itinerary

Probably not

  • Events that need a schedule fixed to the minute
  • Full external vendor build-outs and heavy staging
  • Very large groups beyond cruise capacity
  • Anyone set on a traditional ballroom reception
Partner cruises

Six vessels. All event-ready.

We work with a short list on purpose. We know these boats, their crews and exactly what they can hold — from a 24-guest whole-ship charter to a 158-guest onsen vessel.

Aspira Cruise · 5-star

Four years of sailings and far more public reviews than any other ship we work with. Two 55m² Presidential Suites open onto their own sun terrace, and Hanoi transfers are already in the price. The ship to charter when the day has to go right rather than turn heads.

Explore Aspira

Azura Cruise · 6-star

The newest ship on Lan Ha Bay and the one its operator calls a six-star masterpiece. An infinity pool rather than a jacuzzi, a sauna alongside the spa, and Imperial Suites with ocean-view bathtubs. Eight more cabins, for guest lists past fifty.

Explore Azura

Athena Royal Cruise · 5-star

The larger of our two ships on Bai Tu Long: quieter water, a fraction of the day boats, and caves most visitors never reach. Twenty-two cabins for 44 adults, a classic fit-out of dark wood and patterned tile, and a jacuzzi on the sundeck. It also runs the standard Ha Long route when you want the famous sights.

Explore Athena Royal

Athena Luxury Cruise · 5-star

The classic Ha Long circuit — Sung Sot, Ti Top and Luon Cave — where its sister Athena Royal takes the quieter Bai Tu Long. The 3D2N leaves the ship entirely on day two for a day boat, Me Cung Cave and the Tung Sau pearl farm. Twenty-one cabins for 42 adults, a 50-seat restaurant with a projector built in, and a sundeck the operator rates for events of fifty. It trades as plain “Athena Cruise” as well.

Explore Athena Luxury

Signature Halong Cruise · 5-star

The smallest ship on this list by some distance — twelve cabins for 24 adults, which means a party of twenty takes the entire vessel rather than sharing it. A jacuzzi bathtub in every cabin, not just the suites, and the quiet Bai Tu Long route. Sailing since 2013, on a traditional junk hull.

Explore Signature Halong

Athena Premium Cruise · 6-star 1 October 2026

The first overnight cruise in Ha Long Bay to operate a Japanese onsen, and an 800m² sundeck that takes a 400-guest cocktail reception — the largest event space of any ship we work with. Forty-one cabins for 158 guests, a four-season infinity pool and a route through Ha Long Bay proper. Enters service 1 October 2026.

Still deciding? The side-by-side comparison puts every difference in one table, with photos of every ship.

Before you enquire

Straight answers.

How many guests can we bring?

6 ships, and the range is deliberately wide. Signature Halong Cruise is 12 cabins for 24 guests, Athena Premium Cruise takes 158, and the rest sit between them. Most guest lists fit a whole-ship charter on one of them; smaller groups can take a cabin block rather than the whole vessel. Tell us your headcount and we will say plainly which ships fit and which do not.

What does a package actually include?

Partial planning covers cruise selection, itinerary design and the run of show. Full planning adds vendor sourcing, styling, guest logistics and a coordinator on board for the sailing. Both come with written pricing before you commit.

How far ahead should we book?

Three to six months is comfortable for a wedding, and six or more for peak season dates. If your dates are tight, message us anyway, cabin availability changes weekly.

What happens if the weather turns?

Every plan we send carries a wet-weather layout agreed in advance, so an indoor ceremony or a moved dinner is a decision already made, not a scramble on the day. Sailings can also be re-routed within the bay by the captain.

Do you handle guests flying in from Singapore or elsewhere?

We handle the Hanoi transfer, boarding order and cabin assignment, and we brief your guests before departure. Flights are booked by your guests or your corporate travel desk, and we will give you the timing windows that work.
